Childcare Services

Fife Council Childcare Services Team uses information provided by you to enrol children into our childcare services, such as out of school club and to process your payment for these services.

Most of our services are registered with the Care Inspectorate who require us to hold relevant information about the people accessing care service, this includes children and their parents/guardians.

Our legal basis for processing your information is:

  • General Data Protection Regulations – Article 6 (1)(e) - For the performance of a task carried out in the public interest or in the exercise of official authority vested in the Council.

The personal information we gather, and use includes:

  • child's name
  • address
  • Parent/guardian/carer's name, address/contact details
  • child's date of birth
  • emergency contact details
  • your credit/debit card details if you have paid for a service by card.

We also require information on any additional support needs, medical condition including dietary requirements relating to children while accessing our services.

We may share information with other council services and voluntary organisations to support your child's health and wellbeing.

We may also share your information to support related legislative and regulatory requirements such as accident reporting, complaints, investigations and hearings, duty of candour, or the prevention and detection of crime.

We receive information about you and other individuals through our registration process (application forms). It is therefore important that other individuals you tell us about e.g. emergency contacts, are aware that you have disclosed information to us.  We may, on occasion, receive information from Council services such as Education/Social Work in relation to the child’s health/wellbeing.

If we did not request and use this information, then it would not be possible to provide and support your child during their attendance and use of our services.

We may, on occasion, process your information out with the UK, including countries in the EU and US, such as when using web services that are hosted outside the UK but only when we are satisfied that both the party which handles the data and the country it is processing it in provide adequate safeguards for personal privacy.

The Council will not keep your information for longer than is necessary. In some instances, the law sets the length of time information must be kept. The Council has a retention schedule which sets out how long we hold different types of information. This can be found on our website.
